PageUp x Vieple Video Interview Walkthrough



Setting up your Vieple PageUp integration

 

After creating an interview, you will be redirected to a new page to create a PageUp assessment package. Follow the instructions on the page and submit the form to create the package which will link the new PageUp assessment package to your Vieple Video interview.


Your PageUp CSM will work with Vieple to configure your integration. There are some things that you will need to decide before work commences:

  1. SSO – Vieple recommends using Single Sign On (SSO) with the Vieple/PageUp integration to improve the experience of your hiring managers and recruiters. It means that when they are reviewing the candidate from PageUp, they are seamlessly logged into their Vieple account, and don’t need to enter their Vieple username and password. There is no additional fee for SSO.  Our Implementations Manager can provide you with the documentation for your IDP manager to review and implement.
  2. JIT user provisioning – if you are using SSO, you might also like to consider using JIT user provisioning. This means that anyone coming to Vieple from your network will automatically be created and authenticated in the Vieple system. This is useful if you sometimes need to invite different people in your organisation to look at a candidate’s interview, as they won’t need to be created in Vieple first. 
  3. Read Only or Full Access – if you don’t use SSO, you will need to decide what kind of Vieple access is allowed from the PageUp integration.
    1. Read Only means that anyone who has access to that candidate’s application in PageUp can view their Vieple interview, regardless of whether they are an existing Vieple user. However, no scores can be given. This is useful if you frequently share candidate applications with other team members, but don't require them to be scored.
    2. Full Access means that only people with a Vieple login can access the candidate’s application from PageUp, and they will be asked for their username and password each time they click to ‘Review video’ from PageUp unless SSO has been implemented. Scores and comments can be given and are sent back to PageUp to be displayed against the candidate record after each finalization. This is useful if you wish to use the Vieple scoring system and see results in PageUp.


Other useful information:

  1. You will set the expiry date for each candidate in PageUp – this is the amount of time they have to access their link to complete the interview in Vieple. When you set up an interview in Vieple, we recommend you push the close date out a year in the future as the date will be managed by PageUp and not relevant in Vieple. 
  2. After creating an interview, you will be redirected to a new page to create a PageUp assessment package. Follow the instructions on the page and submit the form to create the package which will link the new PageUp assessment package to your Vieple interview. 
  3. You have the option to set a pass score with a PageUp integration. Contact Vieple support if you wish to do so and once configured the scores sent to PageUp will also contain the pass/fail status of the respondent.
  4. We recommend you send through the scores to PageUp each time you finalize a candidate’s scores, but if you want, you can set a defined number of results and the integration will only send through scores when that is reached. For example, if you always have two reviewers, you could set it to two, and the candidate’s average scores will be pushed to PageUp only after two sets of scores have been finalized



Linking new Vieple interviews with PageUp

Once your PageUp/Vieple integration has been set up with the first interview, previous/newly created interviews will dynamically be added.

 

First, create your interview in your Vieple account.

 

Next, email [email protected] with the following information:

  • the name of the interview you have created
  • a brief description of the interview
  • the approximate duration of the interview 

 

Allow Vieple Support Team up to 2 business days to action this request.

 

Once the interview has been linked, Vieple Support Team will email you to let you know. You will be able to see the interview in the drop down list when you move candidates to online testing.


Monitoring Progress


You can monitor your candidate’s progress in the Application Progress Board.

 

When you invite your applicant, the Application Status changes to “Online Testing” and it will show as “Invited” under Screening Activities. 

 

 

Once they start the interview, the Application Progress Board will update the Screening Activities column as “Started” for the relevant applicant to show that they have started the interview.

As the respondent progresses through the interview, it will update the Screening Activities column to include a “Review Video” button. This takes you from PageUp  to Vieple, to view the applicant’s progress and/or rate the applicant.  At this stage, the respondent is still finishing their interview.

 

When the Screening activities column displays “Completed - Results Pending” that means the respondent has fully completed the interview. Use the “Review Video” button to view and rate the applicant.

 

When you finalize the applicant’s scores in Vieple, the Screening activities column will display “Processed” and it will move the applicant to the “Online Testing Complete” stage in the Application status column. If another reviewer subsequently finalizes their scores for this applicant, the average scores will update in PageUp.

 


Reviewing a candidate’s interview


Once you see the “Review Video” button on an applicant, you can use the link provided to view and rate the applicant on Vieple. The access granted depends on your integration profile settings – these are set up when your integration is first created, so if any changes are required, you will need to contact your Vieple account manager.

FULL

Can view, score and finalise the applicant’s responses. Requires credentials to login to Vieple.

FULL with SSO enabled

Can view, score and finalise the applicant’s responses. Will use SSO to login to Vieple and if JIT user provisioning has been configured, the user doesn’t need to have an exisiting Vieple account.

 

Rating, Commenting and Finalising

Once you login to Vieple as a reviewer you are able to rate, comment and finalise the respondent. Ensure you go to the Finalisation tab when you have finished reviewing the candidate. This is what tells Vieple to send the scores across to PageUp.

 


If this is the first applicant to complete the interview, you may need to map the results in PageUp. The applicant’s overall average score will be shown in the Score column after mapping is complete.


 


To see the applicant’s full results in PageUp, click the name of the interview under ‘Screening activities’ and you will see their scores for all questions.


 


Mapping the Scores in PageUp


PageUp displays the applicants’ scores in the Application Progress Board. Each time you add a new interview to your Vieple/PageUp integration, you will need to map the scores. This only needs to be done once per interview. This can only be completed after the first candidate interview has been reviewed and finalized. 

From the left hand menu in PageUp, choose ‘Assessment Centre’, and then ‘Manage Batteries’.

Find the interview you wish to map and choose ’Manage Mappings’.

 

 

Select “Other score”, which shows the average score of the respondent.

You will get a popup prompting you to select a “Database Column”, select the appropriate column (“TestScore” in this example) and hit save.


Once you see that the “Other score” column for the average score has been ticked, click on “Remap Assessment Results” on the upper far right corner of the page.



The “Score” column in the Applicant Progress Board will now display the applicant’s average score from Vieple.
