Key features of the integration

 

With the SmartRecruiters x Vieple integration, you can add interviews to your HR processes in 3 ways:

  • Use Inline Assessment to get all applicants to complete an interview as part of their application process
  • Seamlessly invite multiple people at once when you add Vieple interviews to any of your hiring processes 
  • Simply invite candidates to complete any of your Vieple interviews on an ad-hoc basis

 

Vieple will help you design your interviews so you are getting the best insights, fast. As well as offering everything you love about video interviews, Vieple gives you additional flexibility, allowing you to choose multi-choice, text, audio only and essay-style responses. Vieple also offers you the ability to rate your candidates on extra measures – such as communication style – and these results alongside their other scores in SmartRecruiters.

 

Once you have a Vieple account, connecting SmartRecruiters and Vieple is easy through the SmartRecruiters marketplace. Because SmartRecruiters displays the current list of open interviews, you can add a new interview in your Vieple account and use it immediately in SmartRecruiters – no additional configuration is required. Choose to add interviews to your hiring processes, as an inline assessment, or invite candidates one-by-one; all results will flow back into SmartRecruiters as your candidates finish.

  

Step-by-step instructions on how to setup the integration

  1. Contact [email protected] to get a Vieple account set up. Already have a Vieple account? Head to step 2.
  2. Contact [email protected] and let them know you want to connect your Vieple account to your SmartRecruiters account. They will advise you when you can proceed to step 3.
  3. Connect your Vieple account in SmartRecruiters
     


 

 

    1. In Settings, click on Apps & Integrations and scroll to find “Vieple” 
    2. Click the yellow “inactive” indicator.

    3. Click “Connect”. You will see what data is shared across the integration – click “Allow and continue” to proceed.

    1. You’ll be taken to Vieple – click Yes if you have an account (or No if you don’t).

    1. Then login using your Vieple account username and password.

    1. Authorise SmartRecruiters to interact with your Vieple account.

    1. Success! Your Vieple and SmartRecruiters accounts are now linked and ready to use.

  1. Add a video interview to a Hiring Process
    1. First, set up your interview in Vieple. Not sure how? Contact [email protected] for guidance or access the user guide
    2. In SmartRecruiters, access Hiring Process from the Settings menu.

    3. Create a new Hiring Process, or edit an existing one. 
    4. Decide which step in the Hiring Process should trigger the Vieple assessment.

    5. Add “Assessments” to this step in the Hiring Process. 

 

    1. Choose Vieple from your preferred Vendors. A list of available interviews will be displayed. Select the one you want to add to the Hiring Process.and click Save. Candidates moved to this status in the Hiring Process will be invited to complete a Vieple assessment.

  1. Add a video interview as an In-line Assessment
    1. Adding a video interview as an In-line Assessment in a Hiring Process means that every applicant who fills in your application form will also be required to complete a video interview as part of the application process. When they get to the end of the application form, they will be taken to Vieple and must immediately complete the assigned interview. Vieple recommends you advise applicants that this is going to happen so they can be prepared.
    2. First, in the Vieple platform, click into the interview that will be used for in-line assessment(s). You can do this when you first create the interview, or edit an existing interview.
    3. Select Interview Settings from the panel (shown here).

    4. In the Description/Job Ref field, type INLINE at the beginning of the field, as you see below:

    5. In the Hiring Process, use the “Add in-line assessment” button to configure a Vieple interview as part of the application process. Repeat step 4.f to assign an interview. Only interviews that have been designed as ‘INLINE’ in Vieple will be shown here.

Integration workflow

The following diagram summarises the workflow between SmartRecruiters and Vieple.
 

 


 

 

Key stages in the workflow are:

  1. User triggers the Vieple assessment order from SmartRecruiters by moving the candidate to the pre-configured step in the Hiring Process
    In SmartRecruiters, select candidate(s) and use the Actions menu to change the status of the selected candidate(s) – change to the status that you associated with the Vieple interview in your Hiring Process.

     
  2. Candidate receives the assessment invitation email from Vieple, with instructions describing how to login to take the assessment

    In the candidate record, the grey light indicates the candidate has been invited but has not yet completed the interview.

     
  3. Candidate logs in to the Vieple platform and takes the assessment
  4. Once completed, the candidate’s status is updated in SmartRecruiters to COMPLETED.
     


     
  5. The user clicks on the paperclip icon and is redirected to Vieple to view and score the candidate’s interview. The user must login to their Vieple account in order to review candidate's interview. SSO is strongly recommended, otherwise, manual login with Vieple credentials will be required. Vieple takes candidate data security seriously and this is an important step in keeping the data safe.

     
  6. The user can watch, score and comment on the candidate’s interview.
  7. The user submits the responses and the scores are updated in the SmartRecruiters platform.

     There are two other ways of using Vieple interviews from SmartRecruiters.

 

  1. Manually invite a candidate outside of a Hiring Process. From the Assessments section of the candidate record, click browse and choose Vieple as the provider. All open interviews will be listed, simply tick the box next the one you require. The rest of the workflow is the same as if you’d invited them through the hiring process: an email is sent to the candidate, they complete the assessment, you watch, rate and comment and the scores are updated in SmartRecruiters.

  1. Add a Vieple assessment as an Inline Assessment. When a candidate completes their application form, they are automatically sent to Vieple to undertake an interview, and returned to SmartRecruiters when they finish. For the user, watching, scoring and commenting on the videos follows the same process.
