Available to use alongside email invitations and reminders, SMS notifications help by prompting your candidates to check their email for detailed instructions and advise them of completion deadlines.
If you would like this feature switched on for your account, please contact us via [email protected] to request activation in the first instance.
Once activated, the following information will guide you through how to use SMS notifications on Vieple.
Note: this is a Vieple platform feature and may not be available if you are using an ATS, as candidate communications are typically sent from your ATS
*At current time, Vieple SMS only supports Australian mobile numbers
Customize your SMS notification
Step 1 | Head into your account by selecting the card with the name of your company. | |
Step 2 | Select Manage Communication Templates from the side-bar. | |
Step 3 | Select New Communication Template from the side-bar, or choose Edit on an existing email template. You can browse the saved SMS templates on your account using the tabs at the top of the page. | |
Step 4 | Choose a Template Name, this will be how your template is identified on your account. This won't be shown to candidates. | |
Step 5 | Choose a Communication Method - SMS | |
Step 6 | Choose a Template Type, this is what situation the SMS can be used in. | |
Step 7 | Enter a Subject line for your new email template. | |
Step 8 | Enter the Body content for your new email template. We recommend copying this from the default template as a starting point - you can find this on the previous page. Login details is not available for SMS notifications due to security. We recommend the SMS is used to notify the user to check their email in order to log into Vieple. The parameter #respondent_email_masked# is used for SMS notifications instead in the event that the mobile number is compromised. | *We recommend that you keep the size of the message within 500 characters. If you exceed this limit it is likely that the rest of the message will be cut-off when being sent.

Step 9 | Click Create to save your new template to your account. You can now use your new template from the communications centre, or when you send your next invitation. |
Invite a Respondent (Single Invitation)
Open your interview by selecting it from the interview list. | |
Select Invite a Respondent in the side-menu. | |
To invite a single respondent, you will just need their First Name, Last Name and Email Address. Enter the details into the pop-up form, and select which invitation email template to send them at the top. You can also change their deadline from the interview default using the date box at the bottom. Tick the box if you would like to receive a notification email when this candidate completes. *New Feature - SMS notification Input candidate's Mobile number Please note: Ensure that you change the cell type for the mobile numbers to "Text", so that the number displays as 04XX-XXX-XXX. If it is in "General", the number will display as 4XX-XXX-XXX. | |

Once you are satisfied with your candidate details, click Invite to send them their invitation email. |
Upload Respondents (Bulk Invitations)
Open your interview by selecting it from the interview list. | |
Select Upload Respondents in the side-menu. | |
To invite multiple respondents at the same time, you will need to download the CSV template file and fill it with the First Name, Last Name and Email Address for each respondent. The External Reference column is optional, but you must include the heading. You can add anything here, such as application ID's or nicknames. *New Feature - SMS Notification Input candidate's Mobile Number |

Open the file, and fill in your candidate details under the respective column headings. | |
Save the file by clicking Save As and select the .CSV (Comma Delimited) file type. This makes sure your file can be read by the system. | |
Now that you have saved your file, select an email template (and/or SMS Template), upload the file by clicking Choose File, and click Upload to send out invitations. | |
If there are any errors in your file, such as invalid email addresses, or duplicate entries, the system will detect these and show you the below page: | |
You can fix errors just by typing in the boxes to amend the details. If you would like to include a duplicate entry for any reason, you can just tick the box to include them. Once you've resolved any issues with your upload, just click Confirm to send out your invitations. |
