Invite Respondents to your Interview

Once you have created your interview, there are three ways that you can invite candidates, depending on your project or preference. Click on the links below to find instructions on each invitation type.

 

- Single Invitation

- Bulk Invitations using a Spreadsheet Upload

- Respondents Self-Register using a Link or QR Code

 


Invite a Respondent (Single Invitation)

 

Open your interview by selecting it from the interview list.mceclip0.png
Select Invite a Respondent in the side-menu.mceclip0.png

To invite a single respondent, you will just need their First Name, Last Name and Email Address.

Enter the details into the pop-up form, and select which invitation email template to send them at the top. You can also change their deadline from the interview default using the date box at the bottom.

Select SMS template 


Tick the box if you would like to receive a notification email when this candidate completes.



Input candidate's Mobile number

 
 
Once you are satisfied with your candidate details, click Invite to send them their invitation email.

 

 

 


Upload Respondents (Bulk Invitations)

 

Open your interview by selecting it from the interview list.mceclip0.png
Select Upload Respondents in the side-menu. mceclip0.png
To invite multiple respondents at the same time, you will need to download the CSV template file and fill it with the First Name, Last Name and Email Address for each respondent.

The External Reference column is optional, but you must include the heading. You can add anything here, such as application ID's or nicknames.

Open the file, and fill in your candidate details under the respective column headings. 
Save the file by clicking Save As and select the .CSV (Comma Delimited) file type. This makes sure your file can be read by the system.

Now that you have saved your file, select an email template (and SMS Template), upload the file by clicking Choose File, and click Upload to send out invitations. 
If there are any errors in your file, such as invalid email addresses, or duplicate entries, the system will detect these and show you the below page:mceclip7.png
 
You can fix errors just by typing in the boxes to amend the details. If you would like to include a duplicate entry for any reason, you can just tick the box to include them.

Once you've resolved any issues with your upload, just click Confirm to send out your invitations.

 

 

 


Instant URL/QR Code Invitation (Respondents Self Register)

 

Open your interview by selecting it from the interview list.mceclip0.png
Select Interview Settings from the side-menu.mceclip0.png
Click into the Invitation URL at the top of the page. mceclip1.png
Change Status to ON to activate your link.mceclip2.png

 

Set a limit for the number of users who can access the link before it becomes deactivated.


Participants will only be able to register for your interview once per email address they use to sign up.

Set a closing date:

Days upon sign up will create an automatic close date for the candidate, based on the time they click on the link.

Enter a date and select the second option to set a fixed closing date and time.

Select the Invitation that candidates will receive after registering for your interview.

Select the SMS that candidates will receive after registering for your interview
 
Choose an email to receive completion notifications to.

Click Update to save your changes.

 

*Important*
Make sure to click update after enabling/disabling the instant invitation. If you do not update, your link status will not change.

Once your changes have been saved, you can head back to the Invitation URL tab at any time to retrieve your Link and QR code. These are displayed at the top of the page, when your link is active:

Copy & Paste the link to share it with your candidates, or Export to download a hi-res copy of the QR code.

 

Please note that anyone with access to the link or code can use it to register for your video interview. We recommend that you consider this whenever sharing or hosting the link.
